We built our system to protect your information from the very beginning.

When you share your health history from your phone, sign a consent form, list your medications, or answer a few questions before an appointment, you’re trusting us with something personal. At Coastal Moms IV Hydration & Wellness, we think protecting that information is simply part of taking care of you.

So before we accepted a single patient record through our new booking and care platform, we made a decision: the system would run inside a HIPAA-compliant hosting environment from day one. Privacy and security weren’t going to be something we got around to once the company grew — they were going to be part of the foundation. And that’s exactly what we did.

Built securely before the first patient record

Honestly, the part we’re proudest of is the timing.

Our new system moved into its protected hosting environment before it ever held a real patient health record. We didn’t launch first and tighten things up later, and we didn’t wait until hundreds of patients were already using the platform. We built the environment, tested it, reviewed it, and made security part of the system before we opened it for patient use.

As Coastal Moms grows, that system will hold the things patients trust us with — health questionnaires, consent forms, treatment details, appointment history, care notes, and whatever else our nurses need to take good care of you. We wanted every one of those records, starting with the very first, handled inside an environment built for them.

What “HIPAA-compliant hosting” actually means

Words like encryption, authentication, and secure infrastructure can sound pretty technical. What matters is what they mean for you as a patient.

Our patient system runs inside a HIPAA-compliant hosting environment designed specifically to protect electronic health information. Federal HIPAA security standards call for appropriate administrative, physical, and technical safeguards around that information, and they specifically address transmission security — protecting health information as it moves across networks.

In practice, that means we’ve built several layers between your information and anyone who shouldn’t have it. Your information is protected while it travels between your device and our system, and it stays protected while it’s stored. Access to sensitive areas of the platform is restricted — our administrators, nurses, and staff don’t just open a public website and find patient records waiting for them. They have to authenticate before they can reach anything protected.

The technical side of that is genuinely complicated. The goal behind it isn’t: your information should be protected whether it’s moving through the system or sitting safely inside it.

Your information isn’t sitting on our public website

Our public website has an important job — helping you learn about Coastal Moms, our services, and our team. Storing your medical records is not that job.

We deliberately separated the public-facing website from the protected system that manages patient information. When our booking system is fully available, it will look and feel like a natural part of the Coastal Moms website, but the sensitive information behind it lives inside our protected application environment. Health histories, consent forms, patient records, treatment information, and care documentation don’t get stored in the public site. That separation was intentional from the start.

Access depends on who you are and what you need

Security isn’t only about keeping strangers out. It’s also about managing access inside the organization.

Our system uses role-based access controls, so people get access based on their responsibilities at Coastal Moms. It’s designed so that sensitive information is available only to authorized users who need it to do their jobs. HIPAA’s Security Rule asks for exactly this — access controls that let only authorized people reach electronic protected health information, plus authentication procedures to verify that someone is who they say they are. We took that seriously when we built the platform.

Protected staff access also requires multi-factor authentication. A password by itself isn’t enough; authorized users have to provide a second factor before they get in. Put plainly: knowing someone’s password shouldn’t hand you the keys to patient information. We put another locked door behind it.

The companies we trust have responsibilities too

Protecting patient information doesn’t stop at our door.

Our protected hosting relationship is backed by a Business Associate Agreement, or BAA. That’s more than a vendor saying they take security seriously — a BAA sets out specific obligations for how protected health information is handled and safeguarded. Federal HIPAA rules require this kind of written arrangement whenever a business associate creates, receives, maintains, or transmits electronic protected health information on behalf of a healthcare organization, including requirements for safeguarding that information and handling security incidents.

The short version for our patients: we thought carefully about where your information lives and who is responsible for protecting it. That isn’t based on a handshake or a checkbox on a hosting company’s website. It’s documented.

Security also means paying attention

A secure system isn’t something you install once and forget.

Our environment is built to support ongoing monitoring, backups, updates, vulnerability management, and review, so we can keep an eye on how it’s performing and catch when something needs attention. It also maintains controls around activity involving protected information — HIPAA security standards specifically address audit controls, the mechanisms for recording and examining activity in systems that hold electronic protected health information.

That matters because protecting information isn’t only about preventing unauthorized access. It’s about accountability inside the systems entrusted with it.

Built for the Coastal Moms of tomorrow

We didn’t build this system for where Coastal Moms is today. We’re building for more patients, more nurses, more services, and future locations — which meant creating infrastructure that can grow without lowering the standard we set for protecting patient information. As we expand, the same philosophy comes with us: patient information stays inside the protected system, access stays controlled, and security stays part of the architecture instead of something bolted on later.

There’s another reason we invested this much time in building our own system. We want the technology to make care from Coastal Moms easier. Booking should be simple. Forms should be simple. Giving consent should be simple. Our nurses should have what they need when they arrive, and you shouldn’t have to recreate your history every time you interact with us.

But convenience shouldn’t come at the cost of how your information is handled, and we don’t think you should have to choose. Behind a simple experience sits a much more sophisticated protected environment built around security, controlled access, and responsible handling of patient information. You shouldn’t have to think about any of that when you book an appointment. That’s our job.

It starts earlier — when you decide to reach out, when you give us your name, when you answer a health question, when you fill out a form, when you tell a nurse something you wouldn’t share publicly.

We took that seriously enough to build the protected environment before the first patient record ever entered our new system. That’s the standard we’ve chosen for Coastal Moms, it’s the standard we’ll keep building around as we grow, and it’s one we’re proud of.
